To start a new Product Renewal, begin here. If there is already an application started (but not submitted) it can be found under MY DRAFTS on the Main Menu.

On the Select Registrant screen a list of Previous Applicants / Licensees appears and one needs to be selected by clicking on Use. If the Registrant has no Products to renew, an appropriate error message will appear (The Registrant you have selected does not have any products that may be renewed at this time., The Registrant you have selected has an existing Product Renewal in progress.) If there is already a Renewal in progress, check MY DRAFTS on the Main Menu.

 

After an applicant is selected, a new button populateproductlistbutton button will show up. Click on it to initiate the Renewal.

 

If the renewal is for a High-Volume Registrant it may take a while for the process to complete (see in the screenshot below 'You are initiating a renewal for a high-volume Registrant'). High-Volume means that the number of Products you are renewing is more than a threshold (maximum) set by the State of New Jersey. If that is the case, the renewal may take longer than usual.

Click on the checkrenewalstatusbutton button to check the progress – if it’s a High-Volume renewal, the following screen may appear.

Click refreshbutton to update the status.

 

After the Product list has been populated, it will show in the Products grid. This will include all Products related to the selected Applicant(s) / Licensee(s) that have expired or that have an Expiration Date within a certain number of days of the current date (set by the State of New Jersey).

Products

Required fields will be marked with a red box. Rows with incomplete information will show an orange warning. Only editable fields will be required.

Edit a row by selecting a field and entering the information. Once the information as been entered, use the Update or Cancel buttons to save or discard the changes.

 

All details in each row are editable, except for the Registration Number, Name, Variety, and Product Type.

 

Duplicate rows with all matching details will cause an error and will show in the Duplicate Sizes section.

Products Export/Import

Export can be used to download an excel spreadsheet of the product grid information. The Import must use the same file that was exported.

Orange columns should not be added to or changed. Blue columns can be changed.

 

When adding Vintages, use a comma and space between years (an example being "1999, 2000, 2001")

A New Row cannot be added to the spreadsheet for Product Renewals. If you would like to add a new Product Size, either make a new Product Registration Application or Add/Adjust Sizes to an existing Product.

If the grid is not updating on Import, there could be a number of reasons why:

 

An existing Registration Number was changed. These must remain the same.

 

A given Registration Number cannot be found in the Product list.

 

A value was added or changed in the POSSE Object Number column. These must stay blank for new rows and unchanged for existing rows.

 

If you are a High-Volume Registrant to renew, a message will be shown alerting you to that fact. Your Renewal will be split into multiple renewals, which will be shown in a grid above the products grid.

When you are satisfied with the selection of Products to renew, click on the Next button.

Questions

All questions must be answered before the application can proceed.

For some responses more information will be required.

If a Document is required, it can be entered on the documents page.

Documents

Documents can be added with the Upload File button.

When a file has been uploaded, a document type must be chosen from the dropdown menu.

A green check mark will appear next to the document type when a document of that type has been successfully uploaded.

If a sample form exists, Click the Open link to download a sample of this document type.

If a document is required by the application or the question page responses, the Required column will show  Yes.

 

Payment and Submission

For more information on how to pay fees and submit the application for processing see the Payment page.

If there are no fees, acknowledge the disclaimer and press the Submit Renewal button.

After the Application has been submitted a confirmation page will be shown.

Processing the Renewal will now be done by the New Jersey Division of Alcoholic Beverage Control. You will receive notification when the Renewal has been completed.

Submitted applications are listed under MY PRODUCT / BRAND APPLICATIONS UNDER REVIEW on the Products Menu.
